Edit a treatment plan or change its status

Rename a treatment plan, change its description or dates, and move it between Active, On Hold and Completed.

Applies toBCBAOrg Owner

A treatment plan's status decides what you can do with it. An Active plan can be edited and used for sessions; an On Hold or Completed plan is locked. A learner can have only one Active plan at a time. You change the plan's name, description and dates from the learner's page, and its status from the plan's own page. Plans cannot be deleted.

Before you start

  • Org owners edit plans and change their status the same way. Aides can view plans but cannot change them.
  • To take a plan off Active, it must have no scheduled sessions and no active recurring series. Cancel the sessions and the series first.

Edit a plan's details

  1. Open Learners, select the learner and open the Treatment Plans tab.
  2. Select the pencil (Edit Plan) on the plan's row. This works in any status.
  3. In Edit Treatment Plan, change the Plan Name (3 to 100 characters), the Description, the Start Date or the End Date. The end date is optional and cannot be before the start date.
  4. Select Save Changes.

The message Treatment plan updated successfully appears and the list reloads.

Dates can change the status

Every save checks the plan's dates, and nothing warns you first:

  • An Active plan whose end date is now in the past moves to On Hold. This happens even if it has scheduled sessions.
  • An On Hold plan that has started and has not ended becomes Active again, as long as the learner has no other Active plan. This happens even when you only change the name.
  • A Completed plan is never changed by its dates.

The status tag in the reloaded list is the only sign of the change. The learner's Go to Active Plan button updates only when you reload the page.

Each night ABACare also moves Active plans whose end date has passed to On Hold, and makes an On Hold plan Active on its start date if the learner has no other Active plan.

Change the status

  1. On the Treatment Plans tab, select the eye icon (View Details) on the plan, or Go to Active Plan at the top of the learner's page.
  2. Select Change Plan Status. The window shows the Current Status.
  3. Under New Status, pick the status:
    • an Active plan can move to Completed or On Hold;
    • an On Hold or Completed plan can move back to Active.
  4. Select Update Status.

The message Treatment plan status updated successfully appears and the status tag changes.

If the change is refused

The window shows Cannot change status. There are scheduled sessions or active session series using this treatment plan. Please cancel or complete them first. in two cases:

  • You are taking the plan off Active while a scheduled session or an active recurring series uses it. A series whose sessions have all passed still counts until someone cancels it. So does a past session that never started, until someone cancels it or ABACare marks it as a no-show in its daily check, once its end is more than an hour past.
  • You are making the plan Active while the learner already has another Active plan. The message is the same, even though the cause is the other plan: put that plan On Hold or Completed first.

To complete an On Hold plan, make it Active, then Completed. This is not possible while the learner has another Active plan.

What happens next

  • On an On Hold or Completed plan, goals, targets and behaviors are locked, and no reward can be added. Rewards can still be edited or archived. No new session can use the plan, parents stop seeing its home practice, and your dashboard stops flagging it.
  • When you complete a plan that has no end date, today's date becomes its end date.
  • A plan made Active again keeps its old end date. If that date has passed, the nightly check puts the plan On Hold again, and so does the next save of its details. Move the end date forward first.
  • Nobody is notified and no history is kept of who changed the status. Scheduled sessions are not touched.
