Import a treatment plan from a document

Upload a learner's existing plan as a PDF, Word or Excel file, review the goals and targets ABACare proposes, and import the ones you keep.

Applies toBCBAOrg Owner

When a learner arrives with a treatment plan written elsewhere, you do not have to type it in again. Upload the document on the learner's page and ABACare reads it with AI. It proposes goals and targets, each filed under a domain of the library and set up with a collection type. The proposal is a draft: you review it, correct what is wrong, untick what you do not want and import the rest into the learner's plan.

Before you start

  • BCBAs and org owners import plans in the web app. There is no import in the mobile app.
  • The file must be a PDF, a Word document (.docx) or an Excel workbook (.xlsx or .xls) of up to 20 MB. Older .doc files are accepted but always fail to process, so save them as .docx first.
  • A learner can have only one import open at a time, from upload until you import or discard it.
  • The goals and targets keep the language of the document. ABACare does not translate them.

Upload the document

Open Learners, select the learner and open the Treatment Plans tab. The import card sits above the list of plans.

  1. Select Import Treatment Plan and pick the file.
  2. File uploaded successfully appears and the card shows Queued for processing, then Processing.... It updates by itself, so you can wait on the page or come back later.
  3. When the draft is ready, the card shows the file name, Ready for Review and Review Import.

The draft is ready to review.

While the card shows Queued for processing or Processing..., Cancel stops the import at once, without asking.

If processing fails

The card shows Processing failed. Please try again or upload a different file. It does not say why. Select Retry to process the same file again. Upload New File does not open the file picker on a failed import, and a failed import blocks new uploads for this learner, so Retry is the only way forward.

If Retry keeps failing, the failed import cannot be removed from the app. Create a treatment plan by hand instead, and report the problem so the import can be cleared.

The upload warns that the limit is 10 MB, but files up to 20 MB are accepted.

Review the proposal

Select Review Import. The Review Treatment Plan Import page lists the proposed goals grouped by domain, each with its targets and their settings.

Review the proposed goals and targets.
  1. Look for the Needs Review tag. ABACare adds it where it was unsure of what it read. The tag stays after you edit the item.
  2. To correct a goal, select its pencil. In Edit Goal you can change the Name, Description, Domain and Subdomain. Select Save Changes.
  3. To correct a target, select its pencil. In Edit Target you can change the name, description, Target Type and the settings of that type. Changing the type resets that type's settings to defaults, so check them before you select Save Changes. Count different days starts off; turn it on when the document states the criterion in consecutive days.
  4. Everything starts ticked. Untick the targets, goals or whole domains you do not want. The count at the top counts targets only. A goal with no ticked target is not imported.

A goal in Unknown Domain was filed under a domain ABACare could not match. Open Edit Goal and pick a real Domain and Subdomain.

Import or discard

  • To import, select Import Selected. The number on the button is the number of ticked targets.
  • To throw the whole draft away, select Cancel Import at the top and confirm with Cancel Import. The draft and the uploaded file are deleted.

If the import fails, Failed to import. Please try again. appears and you stay on the page. Part of the plan may already have been added, so check the learner's plan before you try again: importing twice can create the same goals twice.

What happens next

  • Successfully imported … goal(s) and … target(s) appears and the plan opens.
  • The goals are added to the learner's Active plan, after its existing goals. If the learner has no Active plan, ABACare creates one named "Imported Treatment Plan", starting today.
  • Every imported goal and target starts as Planned. Activate the targets you want to run next: see Change goal and target status.
  • When an imported target meets its mastery criteria with Automatic State Transition on, it moves to your clinic's default destination.
  • Back on the learner's page, the card shows Import Treatment Plan again, ready for another document.
