Edit, sign and export a progress report

Review and correct the AI draft of a progress report, sign it with your name, download it as a PDF, and publish a corrected version of a signed report.

Applies toBCBAOrg Owner

The AI draft of a progress report is written from the learner's data, but it is your report: read it all, correct what is wrong, add what only you know, and sign it. Signing locks the text. From then on you can download it as a PDF to share with the family or the payer. If a signed report needs a correction, you publish a new version with a reason, and the earlier text is kept.

Before you start

  • You work in the web app. Open Learners, select the learner and open the Progress Reports tab.
  • To ask for a draft, see Generate a progress report.

Edit the draft

  1. Double-click a Draft row, or open its menu (three dots) and select Edit. You can also open it from the notification that says the draft is ready.
  2. The report opens as text you can edit, with its period and status at the top. Correct and complete it. Use headings, lists and bold text. The report can be up to 32,000 characters long and cannot contain tables.
  3. Select Save, or press Ctrl+S (Cmd+S on a Mac).

The top of the page shows Unsaved changes after your first edit, then Saving… and Saved at followed by the time. After that first save it keeps showing Saved at and that time, even while you make new changes, until you reload the page. If saving fails, it shows Couldn't save — check connection and Retry. This is also what you see when the text contains a table or is longer than 32,000 characters: remove the table or shorten the text, then select Retry. If you try to leave with unsaved changes, ABACare asks first.

If another person saved the same draft meanwhile, the page shows Another reviewer updated this draft and stops you from saving. Select Refresh to load their version; your unsaved changes are lost.

Sign the report

  1. Save your changes. Sign refuses to open while there are unsaved changes and asks you to save first.
  2. Select Sign. Sign progress report shows your name as it will appear on the report and a content fingerprint that identifies the exact text you sign.
  3. In Type your name to confirm, type your first and last name exactly as shown. Capital letters do not matter.
  4. Select Sign.

Type your name to sign.

The report becomes read only and its status changes to Signed. The top of the page shows Signed, PDF pending while ABACare prepares the PDF, and keeps showing it until you reload the page.

Download the PDF

  1. Open a Signed report: double-click its row, or select View in its menu.
  2. Select Export PDF. The PDF opens in a new browser tab. Save it from there; the link works for 15 minutes.

Export PDF is greyed out until the PDF is ready, usually within a minute of signing. The page does not refresh by itself: reload it. If the PDF could not be made, Retry export appears next to it.

The PDF carries the report text, the period and a signature block with the name you typed and the date. The role printed under the signature is the same for everyone who signs.

Correct a signed report

  1. Open the signed report and select Supersede. The text becomes editable, with the note Editing for supersede — original version preserved.
  2. Make your corrections. There is no cancel button: to give up, leave the page. If you changed the text, ABACare asks you to confirm.
  3. Select Sign new version. The window adds Edit reason (required): explain the correction in at least 10 characters.
  4. Type your name and select Sign new version.

The corrected text becomes the report, signed again, and ABACare prepares a new PDF. Wait a minute and reload before you export: until then Export PDF can still give the previous version. The earlier text is kept in the report's history, but the app shows and exports only the current version. Sign new version works even if you changed nothing, and still creates a new version.

What happens next

  • A signed report cannot be edited, only superseded.
  • Signing a report clears the learner from the overdue progress report entry of your Needs Attention list.
  • The next report you generate for this learner starts where this one ends.
