Reschedule or edit a session

Move a scheduled session, change its length or its aide by dragging it on the calendar or in the edit window, and choose whether a change applies to the rest of a series.

Applies toBCBAOrg Owner

Plans change: a session moves to another hour, runs longer, or goes to another aide. You can drag a scheduled session on a calendar, or change it in the edit window. For a session that belongs to a recurring series, ABACare asks whether the change is for this session only or for the rest of the series too.

Before you start

  • You reschedule in the web app. The mobile app cannot move sessions.
  • What you can change depends on the status:
    • Scheduled: the date, the start time, the length and the aide.
    • In Progress and Submitted: the window opens, but it accepts only a start in the future, so in practice you cannot change them here. To fix the times of a submitted session, see Correct a submitted session's times.
    • Cancelled, No-Show and Completed: nothing.
  • Once a session has an aide, you can change the aide but not leave the session without one.

Drag a session on the calendar

  1. On the session calendar or on a learner's calendar, drag a Scheduled session to a new time, or drag its bottom edge to make it longer or shorter. Changes snap to 30 minutes. You cannot drop a session in the past, and a session of a series stays on its own day.
  2. While you drag, the sessions that overlap the session's current time are outlined.
  3. For a session that is not part of a series, ABACare saves at once and shows Session updated successfully. If the learner already has a session at the new time, the session jumps back and Scheduling Conflict opens.
  4. For a session of a series, Edit Recurring Session opens, as described below.

In Progress and Submitted sessions jump back with Session cannot be changed here. Completed, Cancelled and No-Show sessions cannot be dragged. A resized session longer than 8 hours is refused with a message from the server.

Edit a session in the window

  1. Open Edit Session: select the session on the calendar and choose Edit Session, or use the edit button in the sessions list or on the learner's list, or Edit Session on the session page.
  2. The learner and the treatment plan cannot be changed.
  3. Change the Session Date, the Start Time, the Session Duration or the Aide. Only the learner's assigned aides are listed.
  4. Read the warnings about the aide's availability and the learner's authorized hours, as when you schedule a session. They are advice only.
  5. Select Save. The start must be in the future, and the session must last from 15 minutes to 8 hours.

For a Cancelled, No-Show or Completed session, a Note says Start and end times can only be edited for sessions with Scheduled status. Current status: followed by the status, and the fields are locked.

Change a session of a series

When you drag a series session, or change its time or aide in the edit window, Edit Recurring Session describes the change, for example Change time to and the new time. It also says how many future scheduled sessions it will update.

  • This session only changes this session. From then on it keeps its own settings: changes to the whole series skip it, even if you only changed its aide.
  • This and all future sessions changes the series. Every later Scheduled session of the series that you did not change on its own takes the new time of day and the new aide. A session whose new time clashes with another session of the learner stays where it was. The message says how many sessions were updated and how many were skipped because of conflicts.
  • Cancel changes nothing. On the calendar, the session jumps back.

Only the time of day carries over to the series. Moving a session to another date moves that session alone. Dragging changes only the time, so the series keeps its aide.

If saving fails from the edit window, Edit Recurring Session stays open and hides the error. Select Cancel to read the error in Edit Session.

What happens next

  • The session shows its new time or aide on every calendar and list, and in the aide's apps. Nobody is notified or emailed, so tell the aide yourself.
  • If you also moved the session to another date, the number of sessions updated can differ from the number the window announced.
  • ABACare checks only the learner for clashes, never the aide, so an aide can end up with two sessions at once.
