Review and complete a submitted session

Open a session an aide submitted, check its data, notes and media, fix what is wrong and mark it Completed.

Applies toBCBAOrg Owner

When an aide submits a session, it waits for you in Submitted. You open it in the web app, check what was recorded, correct anything that is wrong and then complete it. Completing is your sign-off: it locks the data, lets ABACare check mastery, and tells the aide about any feedback you left on their photos and videos.

Before you start

  • You review and complete sessions in the web app. The mobile app shows submitted sessions as read-only.
  • The session must be Submitted. If nobody completes it, ABACare completes it automatically after the number of days your org owner sets, 2 unless they changed it. ABACare checks once a day. With the setting at 0, a session is completed about an hour after it is submitted, which leaves you about an hour to review it.

Open a submitted session

  • On your Dashboard, open Review & Sign Off under Needs My Attention. Each submitted session of your learners has a row there until it is completed. See Work the Needs Attention list.
  • Or open Sessions, filter the status to Submitted and select a session. You can also open it from the calendar.

Review the session

Work down the session page:

  1. The top shows the learner, the aide, the treatment plan and the Scheduled and Actual times, and when the session was submitted.
  2. The Data card lists each target with its runs, target notes, photos and videos.
  3. Behavior Records and Session Rewards show the behaviors and rewards logged.
  4. Session Notes holds the aide's notes, and AI-Generated Summary the draft ABACare wrote at submit.
  5. Status History lists every status change, oldest first.

Fix what you find before you complete the session. Completing locks the data and the times.

Complete the session

  1. Select Change Status. Change Session Status opens with the current status and, under Submission Information, who submitted it and when, for example Submitted by Jessica Moreno on a date.
  2. Under New Status, pick Completed. It is the only option. The field starts empty every time you open the window.
  3. Optional: add a reason in Reason (Optional), up to 500 characters.
  4. Select Change Status.

The message Session status changed successfully appears and the page reloads with the session Completed. If you select Change Status without picking a status, the window shows New status is required.

What happens next

  • Edit times, Change Status, Collect Data and the edit and delete buttons on runs and behavior records disappear. If your clinic lets aides correct submitted sessions, the aide can no longer change it either.
  • You can still edit the AI notes, change the notes for parents and comment on photos and videos.
  • ABACare checks each target against its mastery criteria. A target ready to move on, or one that needs to move back, reaches you as a suggestion in Needs My Attention. See Review an automatic status suggestion.
  • If you commented on photos or videos the aide attached, the aide gets one notification for the session.
  • Completing does not change what parents see. They read a session's public notes as soon as you save them.
  • The session leaves Review & Sign Off.
