Upload and manage a learner's documents

Keep assessments, insurance papers, medical records and reports on the learner's page, filter them by category, download them, rename them and delete them.

Applies toBCBAOrg Owner

The Documents tab keeps a learner's files in one place: assessment reports, insurance papers, medical records, signed consents. You upload a file with a name everyone will recognize and, if you like, a category. Anyone who can edit the learner can then download it, rename it, recategorize it or delete it.

Before you start

  • You work in the web app. The mobile app has no documents screen, and aides do not see this tab.
  • Open Learners, select the learner and open the Documents tab.
  • A file can be up to 10 MB, of any type. Your clinic's plan can set a lower limit per file, and every file counts against the clinic's storage.

Upload a file

  1. In the Upload Document card, select Select... and pick the file. The button then shows the file's name, and Display Name fills in with the file name if it was empty.
  2. Change the Display Name if you want. It is required.
  3. Pick a Category if you want: Assessment, Insurance, Medical, Report or Other.
  4. Select Upload Document. The button is active once a file and a name are set.

The message Document uploaded successfully appears and the file joins the list. A file over 10 MB is refused before it is sent, with File too large. Maximum size is 10MB. If the file goes over your plan's limits, a message explains which one.

Find and download a file

The Documents card lists the files newest first, with their Display Name, Category, Original Filename, Size and Uploaded date. Use Filter by category to see one category.

Select the download icon on a row to open the file in a new browser tab.

Rename or recategorize a file

  1. Select the pencil icon on the row.
  2. In Edit Document, change the Display Name or the Category.
  3. Select Save.

The message Document updated successfully appears. Only the name and category can change. To replace the file itself, delete it and upload the new one.

Delete a file

  1. Select the bin icon on the row.
  2. Delete Document asks Are you sure you want to delete this document? Its buttons show Yes and No in English. Select Yes.

The file is deleted for good and the message Document deleted successfully appears.

What happens next

  • Other BCBAs and org owners see the change the next time they open the tab. Nobody is notified, and no history is kept.
  • Deleting a file frees its space in your clinic's storage.
